Your top questions, answered
Everything independent practices and billing companies ask us before switching to Criterions.
Pricing and licensing
How is Criterions priced?+
Modularly. You license the EHR, practice management, or both, and add only the features you use. A billing company running practice management alone pays for a different configuration than a practice running EHR and billing together. Some ONC-certified functionality — such as online patient service, direct messaging, or ePrescribing — carries ongoing monthly costs.
Do I have to buy EHR and practice management together?+
No. They are licensed separately and either one runs on its own. Practices that already have billing they’re happy with, and billing companies that don’t need a clinical chart, are both common setups.
Switching from your current system
How long does it take to switch to Criterions?+
Most practices are live in four to eight weeks from signed to go-live. The timeline depends mostly on how much historical data you want converted and how many providers need to be scheduled around for training, not on the software itself.
What happens to our existing patient records?+
Data conversion is handled in-house by the Criterions team, working directly with your practice staff to gather what’s needed — there’s no outside vendor in the middle. How much history actually gets converted is entirely up to your practice: some bring years of records forward, others start the new chart fresh and keep the old system on hand for reference.
Can we move from paper records to Criterions?+
Yes — that’s one of the most common ways practices come to us, and we’ve been doing it for thirty-five years. We’ve written a full guide to what the transition actually involves.

Is Criterions cloud-based or installed on our servers?+
Cloud-based. There is no on-site server to maintain, patch, or replace, and providers reach the system from the office, an exam room, or home.
Does Criterions work with other systems we already use?+
Yes. Both core products integrate broadly with outside systems — including practices whose billing company is on Criterions while the practice itself runs a different EHR. What a specific integration involves depends on the other system.
Can the system be configured for our specialty?+
Yes. Problem lists, visit templates, chart layout, and intake forms are configurable to your specialty and to individual providers, rather than selected from a fixed set of templates.
What scheduling features are included?+
Provider, resource, and location scheduling on the same record as billing, intake, and reminders — so a schedule change never needs re-entering in a second system. Specific scheduling features available to your practice depend on your module configuration.
See the Scheduler feature →What is e-prescribing, and does Criterions support controlled substances?+
e-Prescribing (eRx) sends prescriptions electronically to a pharmacy instead of by paper or phone, with interaction and allergy checking at the point of prescribing. Criterions supports Electronic Prescribing for Controlled Substances (EPCS) in states where it’s permitted, which requires DEA-compliant two-factor authentication for the prescribing provider.
See the ePrescribing feature →Certification and compliance
Is Criterions ONC-certified?+
Yes. Full certification details — including the certification criteria, our CHPL listing, Real World Testing plans and results, API documentation, and mandatory disclosures — are published on our certifications page.
View certification details →Does Criterions sign a Business Associate Agreement?+
Yes, with every customer, to support your practice’s HIPAA compliance program.
Is Criterions HIPAA-ready?+
Yes. Criterions is built with HIPAA compliance workflows in mind. The platform includes technical safeguards such as encrypted data transmission and storage, role-based access controls, and audit logging. HIPAA compliance is a shared responsibility: the software provides the technical safeguards, and your practice is responsible for the administrative and physical safeguards required by the HIPAA Privacy and Security Rules.
What is FHIR, and does Criterions support it?+
FHIR (Fast Healthcare Interoperability Resources) is the HL7 standard for exchanging health information between systems electronically — the current federal standard for patient data access, required under the 21st Century Cures Act. Criterions is FHIR-compliant and publishes FHIR API endpoints, so patient data can move to connected systems, labs, and health networks in a standardized format.
Support and implementation
What does support actually look like?+
Support is available 24 hours a day, and the team you reach knows Criterions customers by name rather than working from an anonymous ticket queue. Most replies come back within one to two hours. It’s the differentiator customers mention first, and the one hardest to prove on a website — which is exactly why we’re specific about it here.
What does Criterions’ implementation support include?+
Data migration planning, system configuration for your practice’s workflows, hands-on training for all staff roles, go-live support, and post-go-live stabilization — handled entirely by Criterions’ in-house team, working directly with your practice staff throughout.
Where do I log into my EHR or the patient portal?+
Not on criterions.com — every Criterions practice gets its own unique login URL for staff EHR access and for the patient portal, so there’s no single shared login page. If you don’t have your practice’s link handy, check with your practice’s front desk or administrator, or contact Criterions support.
